Position: Project Coordinator
Location: Coquitlam, BC
Status: Full-time, Permanent

Project Coordinator Summary

The Project Coordinator works closely with the Project Management teams on restoration projects by supporting and assisting in the area of administration, communication, and meeting (or exceeding) key performance indicators (KPI’s).

Duties and Responsibilities

  • Receive new jobs via phone and email, assign to Project Management Teams
  • Enter and maintain accurate and complete job file information and date milestones in our project management software and online communication platforms
  • Set up and keep organized paper job files
  • Assign and send work orders to internal and external trades
  • Type/transcribe and upload/send required job file documents
  • Provide support with invoice preparation (with focus on Excel workbook drafting)
  • Support communications and liaise with various stakeholders on behalf of the team
  • Assist with regular reporting requirements
  • Perform all tasks in a timely manner with the aim to meet (or exceed) KPI’s
  • Provide reception relief and back up reception as required
  • Time off relief for Project Coordinators and Receptionist


Education and Experience

  • 2+ years of experience in a busy and fast-paced administrative or assistant role
  • 1+ years of experience working with strata claims and property management groups is considered beneficial
  • Experience in the construction, restoration, or insurance industry is considered beneficial
  • Strong computer skills including Microsoft Office suite (Outlook, Word, Excel) and the ability to type 40+ words per minute accurately
  • Strong administrative and clerical skills
  • Strong customer service skills
  • Ability to communicate effectively in English both verbally and in writing
  • Ability to deal with difficult customers/clients on the phone and defuse a situation
  • Ability to multitask and prioritize
  • Ability to work in a constant changing environment
